Ordering

We would be happy to receive orders and quote requests via the website or by e-mail.
You can add all the products you wish to rent, to your shopping basket.
Then click on the top right for an overview and then click on “request a quote”.

Go through the checkout process as indicated on the website. As soon as you click the “confirm” button, your request will be sent. Don’t forget to agree to our privacy policy & general terms & conditions.

You automatically create an account at the time of completing your order. Would you rather create an account first? If so, click on “create account” and follow the instructions.

Creating an account has many advantages:

  • At the time of your next request, we already have your data, so you do not have to re-enter them.
  • You have a clear and downloadable overview of all your requests.
  • You can re-order a previous request in just a few clicks.
  • Are you eligible for a commercial discount as a loyal customer? Then you will see this immediately when you check out.

Despite our large stock, we recommend that you reserve your items in time.

For pick-up on Monday or Friday in Hasselt, we would like to receive your order on Thursday at the latest before 10 a.m.

You can change your order up to three working days before delivery/pick-up. The materials you order will be reserved for you. That is why it is important that you notify us of any changes as soon as possible.

You can still cancel your order. This can only be done in writing via info@festarent.be.

The last cancellation date is seven days before delivery/pick-up. Festarent may charge 50% of the total rental sum for cancellations after the specified period.

The rental price on the website applies to a rental period of five days.

This gives you sufficient time to install and clean up the materials afterwards.
For longer rental periods, we would be happy to provide you with a custom quote.

As soon as the rental period exceeds five days, additional charges will be levied, depending on the number of days. Contact us for a tailor-made offer.

If you place an order below €300 including VAT, we charge a handling fee of €20 including VAT.

If you wish to pick-up the materials yourself, it is important to take into account additional costs for pick-up in Hasselt:

  • Pick-up point Hasselt: + €20, including VAT
 

Pick-ups from our main warehouse in Beringen are always free of charge.

Materials

It is only possible to view some items in our Hasselt branch.

This is possible on Monday and Friday between 9 a.m. and 5 p.m. If you have specific requirements, you may contact our Rental Service Advisers.

You can pick up most materials from our range yourself.

However, there are items that require specialised transport and/or installation. We would therefore be happy to deliver and/or install these materials ourselves.

Porcelain, glassware or cutlery

You do not have to clean the used porcelain, cutlery and glassware. Do make sure that plates and bowls are free of leftovers to the extent possible, and sort them by type and place them in the right tray. Also clear the trays of toothpicks, napkins, menus, food waste, etc.

Glasses, bags and bowls should be sorted and turned upside down to the washing-up bowl. Cutlery should also be sorted by type and put back in the right tray. This way you avoid extra handling costs:

Glasses, cups, bowls, plates: €1.21 / tray, including VAT.
Specifications: €1.21 / 100 pieces, including VAT.

 
Linen

Festarent will be responsible for cleaning the linen. For this, we request you to keep the linen dry. Air out wet tablecloths, napkins, towels, etc. – in other words, just air them out before putting them back in. After packing, keep the linen in a dry place for return or pick-up. Mouldy linen unfortunately cannot be cleaned and will be charged for, just like other damage.

Food waste, candle wax, napkins, menus, etc. may not be placed in our linen bags. This way you will avoid extra handling costs.

 
Furniture, appliances that run on electricity, gas, coal or wood

All the furniture and appliances have to be cleaned before pick-up/return of the material, which also means that frying oil will have to be removed from the fryers.

This will avoid extra handling costs of €42.35, including VAT per item.

The rented materials should be stacked and packaged as you picked it up or as it was delivered. So take a good look beforehand at how the materials are packed. If necessary, take a photo to make it easier for yourself.

Be sure to check under the question “Do I have to clean the rented materials myself” to find out what we expect from you after use.

The renter shall compensate any shortcomings or damage. The driver shall count the furniture and large materials at the time of pick-up. We will count the small materials such as porcelain, cutlery, linen, etc. in our warehouse.

Payments

Are you picking up your materials yourself? If so, you have three options:

  • Pay the full amount in advance by bank transfer
  • Pay the full amount when picking up the materials, via bancontact
  • You can also pay the full amount in cash when picking up the materials

 

Upon return, we shall check the rented materials for damage and shortcomings. These shall be settled immediately.

If we are delivering the materials to you, such delivery can only be made if the full amount has been transferred to Festarent’s account in advance.
Upon pick-up, we shall check the furniture and large materials for damage and shortcomings. We shall count small materials such as porcelain, cutlery, linen, etc. after arrival in the warehouse. Shortcomings, damage, extra work or waiting time at the location will be charged on the invoice and can be paid by bank transfer upon receipt.

Festarent may at all times request a deposit.

You will receive an invoice after the return of the materials.
In case of shortcomings, damage, extra work or waiting time on location, these will be included in such invoice.

Pick-ups

Beringen

Our main warehouse in Beringen is open from Monday to Friday, excluding holidays, during opening hours for pick-ups and returns.

 
Hasselt

Pick-ups and returns in Hasselt are possible during office hours on Monday and Friday, excluding holidays.
For pick-ups in Hasselt, we levy an extra charge of €20, including VAT.

 

Your order will be ready for pick-up on the requested date from 9 a.m. onwards.

Please note: you can only pick-up your order between 9 a.m. and 5 p.m.

Our materials must always be transported in the appropriate packaging. We cannot allow any exceptions to this.

You may pick-up the materials yourself using a trailer, delivery van or other suitable means of transport. This is only possible if the means of transport has the option of:

  • tying up the materials;
  • protecting them from rain or other weather influences;
  • and is in a sound and clean condition.

 

If you are unable to meet these requirements, we may still cancel your order and charge you for at least 50% of the total rental value.

Our standard transport prices for volumes less than 40m³ are listed below. These prices are exclusive of VAT and only apply to transportation within Belgium. Transport abroad is always possible on request. The kilometres are always counted from our main warehouse in Beringen.

Loading and unloading time

This price includes a loading and unloading time of 30 minutes. Extra loading and unloading time shall be charged at €66.55, including VAT per working hour that commences.

For volumes higher than 40m³, we shall apply a custom price.

Deliveries are normally scheduled between 8 a.m. and 6 p.m.

If you need the materials for a specific time, you may specify this when requesting the quote.
Please bear in mind that changes to the times cannot be made after the schedule has been drawn up.

The delivery address

The delivery address must be easily accessible via public, paved roads. Delivery shall be made using a lorry with dimensions of H3.80 x B2.70 metres.

 
Delays

Check beforehand to ensure that:

  • the delivery address is not in a pedestrian zone;
  • there are no events planned on the day of delivery (market, processions, etc.)
  • there are no works in the vicinity.
    Please report this to one of our Rental Service Advisers at least 2 working days in advance.
 
The location

Deliveries will only be made on the ground floor, at the entrance, insofar as the same is paved and easily accessible.
Deliveries via unpaved roads, via stairs and/or lifts or other difficult roads can only be carried out after the same is requested in advance. The additional cost will be calculated on the basis of the number of stairs, the situation, and the number of materials.

 
Your presence

Someone has to be present at the time of the delivery.

 
Loading and unloading times

We allocate 30 minutes for unloading the materials. If, for the reasons mentioned above, this is not possible within 30 minutes, we will charge an extra cost of €66.55, including VAT per working hour that commences.

 
Packaging of the materials

The packaging and/or transport carts always remain on location since you will have to pack and stack the materials again afterwards just as we delivered them.

 
Impossible delivery

If the delivery could not be made (for the reasons mentioned above), the materials can be picked up one day later in Beringen.

 
Check your order

Check your order on delivery for any shortcomings, defects or damage. You must notify these immediately via e-mail at klachten@festarent.be, after ascertaining the same. Please bear in mind that we cannot accept notifications after the event.

Yes, we can also deliver your party materials abroad! Please request a suitable quote for this from one of our Rental Service Advisers.

Return deliveries

The pick-up address

The pick-up address is always the same as the delivery address. The location shall therefore be easily accessible via public paved roads. The pick-up is also done with a truck with a dimension of H3.80 x B2.70 metres.

 
Delays

Check beforehand to ensure that:

  • the pick-up address is not in a pedestrian zone;
  • there are no events planned on the pick-up day (market, processions, etc.);
  • there are no works in the vicinity.

Please report this to one of our Rental Service Advisers at least 2 working days in advance.

  1. Clearing, packing and loading of all materials in less than 30 minutes: + €96.80, including VAT.
  2. Clearing, packing and loading of all materials in more than 30 minutes: + €96.80, including VAT + €66.55, including VAT, for each working hour that commences
  3. A new pick-up date will have to be arranged: + 50% of the total rental amount + extra transport costs
 
Damages and shortcomings

We will of course charge the purchase price for damaged items that are returned to our warehouse. Materials that are not returned will also be charged for. The price is different for each article and will be settled against invoice after the intake /receipt of the return delivery. The list of purchase prices can be requested at info@festarent.be.

Our materials must always be transported in the appropriate packaging. We cannot allow any exceptions to this.

You can bring back the materials yourself in a trailer, delivery van or other suitable means of transport. This is only possible if the means of transport has the option of:

  • tying up the materials;
  • protecting them from rain or other weather influences;
  • and is in a sound and clean condition.

 

If you cannot meet these requirements, we will charge a fee of at least 50% of the total rental value.

Any material that is found later on should be reported and returned to our warehouse as soon as possible.

This way you avoid extra costs.

Damage, breakages or shortcomings should be reported as soon as possible.

Therefore we ask you to take a picture as soon as possible and mail it to info@festarent.be.
Please bear in mind that we cannot accept notifications after the event.
